Whether someone hears about you from a friend, drives past your premises or sees your van on the A14, the next thing they almost always do is look you up. What they find in the next thirty seconds — or don't find — decides whether they pick up the phone to you or to someone else.

Getting your business seen online isn't one thing. A strong online presence for a small business is a handful of building blocks that work together: a domain name you own, a website that works on every device, a presence in local search, and professional email that matches your brand. Get those right and your business looks established, trustworthy and easy to contact. Miss one and the others don't work as hard as they should.

Plan-IT looks after websites, domains, hosting and business email for businesses across Suffolk, Norfolk, Essex and Cambridgeshire — all from one local team. No juggling a web designer, a domain registrar, a hosting company and an email provider who all blame each other when something stops working.

1. Start with a domain name you own

Your domain — yourbusiness.co.uk — is your address on the internet. It sits behind your website and your email, so it's worth getting right from day one:

  • Keep it short and easy to say. If you have to spell it out over the phone, customers will mistype it.
  • Pick the right ending. For a UK business serving UK customers, .co.uk is the natural choice. Registering the .com and .uk versions as well stops anyone else using your name.
  • Make sure the business owns it. We regularly meet businesses whose domain was registered years ago by a former employee or an old web designer — and nobody can log in to renew it.
  • Never let it lapse. When a domain expires, your website and email stop working at the same moment, and lapsed names can be snapped up by someone else.

We register and manage domain names on your behalf and keep them renewed, so they never lapse — and we can help untangle an old registration that nobody can get into.

2. A website that works as hard as you do

Your website is often the first impression a new customer has of you. It doesn't need to be enormous — it needs to answer their questions quickly and make it easy to get in touch. A good small-business website should:

  • Work perfectly on a phone. Most people will find you on a mobile, often while they're out and about.
  • Load fast. Slow pages lose visitors, and search engines take speed into account when ranking sites.
  • Say clearly what you do and where you do it — with your phone number, email and opening hours easy to find on every page.
  • Be secure. The padlock (HTTPS) is expected as standard; browsers warn visitors away from sites without it.
  • Be kept up to date. An out-of-date site with last year's prices or a dead contact form quietly costs you work.

Plan-IT designs and builds websites in-house, with search engine optimisation built in from the ground up. Sites are hosted on our own UK-based servers with SSL certificates, regular backups and monitoring included, and we can handle updates and content changes for you — or give you an easy-to-use system to make them yourself.

3. Be found when people search locally

"Electrician near me", "accountant in Ipswich", "florist Bury St Edmunds" — local searches are how many customers find a business they've never heard of. A few things make a real difference:

  • Claim your free Google Business Profile. It's what appears in Google Maps and the panel beside search results. Add your opening hours, services, photos and service area, and keep them current.
  • Keep your details identical everywhere. Your business name, address and phone number should match exactly across your website, Google, social media and directories.
  • Ask happy customers for reviews — and reply to them, good and bad. Recent reviews build trust before anyone has spoken to you.
  • Tell search engines where you work. Your website should mention the towns and areas you actually cover, in plain language.

Every website we build follows search best practice — clean page structure, fast load times, proper page titles and descriptions, optimised images and strong mobile performance — so you start with a site search engines can understand.

4. Professional email on your own domain

An enquiry answered from yourbusiness@gmail.com says something different to one from hello@yourbusiness.co.uk. Email on your own domain looks professional, keeps every address under the business's control when staff come and go, and means your branding goes out on every message you send.

Just as important is making sure your email actually arrives. Properly configured email authentication — SPF, DKIM and DMARC — proves to the likes of Gmail and Outlook that your messages genuinely come from you. Without it, quotes and invoices can land in junk folders or be rejected outright, and it becomes far easier for fraudsters to send convincing emails pretending to be you.

We set up and support Microsoft 365 business email — 50GB mailboxes, shared mailboxes such as sales@ and accounts@, shared calendars and email on every device — configured correctly from the start. For extra protection against phishing and malware, we also offer Mimecast email security.

5. And the rest of the picture

Being easy to find is only worth it if you're easy to reach and safe to deal with. Plan-IT can also look after:

Your quick checklist

  • Your business owns its domain name, and it's set to renew automatically
  • Your website works well on a phone and loads quickly
  • Your phone number, email and opening hours are easy to find on every page
  • Your site shows the padlock (HTTPS)
  • Your Google Business Profile is claimed, accurate and has recent photos
  • Your name, address and phone number match everywhere online
  • You're emailing customers from your own domain, not a free webmail address
  • SPF, DKIM and DMARC are set up so your emails reach the inbox
